Why put a system between Shopify and QuickBooks Online?
Shopify is your storefront and QuickBooks Online is your general ledger. Neither is built to be the record of what is physically on your shelves, what is on order from suppliers, or what a unit really cost once freight and duties landed. Brands that connect the two directly tend to get sales into the books but not cost: COGS is estimated, inventory is adjusted once a month, and the margin you report differs from the margin you earn.
SuppliFlex sits in the middle as the system of record. Shopify sends it orders. It does the operational work (allocation, fulfillment, purchasing, receiving with landed cost, returns) and posts the financial result to QuickBooks Online through its AP, AR and inventory sub-ledgers.
What syncs between Shopify, SuppliFlex and QuickBooks Online?
Think of it as two connections, each with its own set of records.
Shopify and SuppliFlex
- Orders, which arrive in the SuppliFlex order queue.
- Available quantities per location, calculated from the inventory ledger.
- Your catalog, which you see in SuppliFlex when you connect the store.
SuppliFlex and QuickBooks Online
- Purchase orders and supplier bills from procure to pay.
- Invoices and credit notes from order to cash.
- The AP, AR and inventory sub-ledgers, with dimensions, which roll up into the general ledger.
Returns and RMAs touch both sides: the unit goes back into stock in SuppliFlex and the credit follows to QuickBooks Online.
In which direction does each record flow?
Both connections are two-way, but most records have a natural home:
- A shopper places an order in Shopify. It flows into SuppliFlex.
- SuppliFlex allocates and ships it, and the ledger updates. The new available quantity flows out to Shopify.
- The sale and its cost flow out of SuppliFlex to QuickBooks Online as entries in the AR and inventory sub-ledgers.
- On the purchasing side, the PO, receipt and bill live in SuppliFlex, and the bill flows out to QuickBooks Online.
- SuppliFlex reads reference data back from QuickBooks Online, such as accounts, so postings land where your accountant expects.
How often does the sync run?
Both connections are near-real-time: seconds, not a nightly batch. SuppliFlex's sync-freshness design target is under 60 seconds at the 95th percentile. A Shopify order placed at 10:02 should show in the order queue, the stock figure and the sub-ledgers well before anyone looks at a report.
How are conflicts handled?
Conflicts can start on any of the three sides: a stock level edited in Shopify admin, a bill changed in QuickBooks Online after it synced, a failed call to either platform. All of them land in one place, the SuppliFlex exception inbox, with the cause and a one-click fix.
In the beta the policy is "always ask". SuppliFlex does not pick a winner by itself, and because the inventory ledger is append-only, every fix is recorded as a new entry in the audit log. Task queues and a knowledge base help when the same conflict type keeps coming back.
What is simulated in the sandbox today, and what is live from 13 November?
Sandbox, from Fri 30 Oct 2026, 12:00 CT. The real product on seeded data, with no card and no setup. The hosted simulator emits Shopify and QuickBooks events every few minutes, so you can watch an order move from storefront to queue to sub-ledger. Use the time machine to jump to end of month and inspect what would reach the books. Anything not yet in production is flagged "coming to production".
Production beta, from Fri 13 Nov 2026. The Shopify and QuickBooks Online connectors are live. The guided trial connects both read-only so you see your own catalog and orders. The migration wizard and CSV import are available.
General availability, Mon 23 Nov 2026. GL sync, period close and sales tax are complete.
How do you set it up?
- Open a sandbox. Go to /sandbox, pick a seed pack and invite whoever runs your books. Walk through a simulated month.
- Connect Shopify read-only. From 13 Nov, connect your store in the guided trial and check that your catalog and orders look right.
- Connect QuickBooks Online read-only. Do the same for your books.
- Map accounts. Choose which QuickBooks Online accounts receive sales, COGS, inventory and payables postings.
- Bring data across. Use the migration wizard or CSV import for opening stock, open purchase orders and suppliers.
- Run in parallel. Keep your current process running while SuppliFlex processes the same orders, and compare the results.
- Switch to live sync. Once the numbers tie, let SuppliFlex write to Shopify and QuickBooks Online and retire the old path.
The pilot program does steps 4 to 7 with a founder, for ten US brands on Shopify or Amazon plus QuickBooks or Xero. Connector details are on the Shopify and QuickBooks Online pages.
