Accounting sync: sub-ledgers in SuppliFlex, the GL in QuickBooks or Xero

SuppliFlex keeps the AP, AR and inventory sub-ledgers, with dimensions, and syncs them to QuickBooks Online or Xero, which stays your general ledger. Inventory is valued by weighted average or FIFO. The goal is a close measured in days and inventory that ties to the GL without manual adjustment.

Where does SuppliFlex stop and the general ledger begin?

QuickBooks Online and Xero are good general ledgers. They are not built to hold every receipt, pick, transfer, return and landed-cost allocation for a brand selling across several channels and locations. When they are asked to, the detail ends up in spreadsheets and the ledger ends up wrong.

SuppliFlex draws the line clearly. Operational detail lives in SuppliFlex, in three sub-ledgers: accounts payable, accounts receivable and inventory. The general ledger stays in QuickBooks Online or Xero, where your accountant already works. SuppliFlex syncs the sub-ledgers to the GL; you do not change accounting systems to use it.

What is in each sub-ledger?

  • Accounts payable: supplier bills from purchasing, where three-way match checks them against the purchase order and the receipt.
  • Accounts receivable: invoices and credit notes from order management, across DTC, marketplace and wholesale.
  • Inventory: every movement in the append-only ledger per SKU and location, valued at cost.

Each sub-ledger carries dimensions, so the numbers that reach the GL can still be broken down when someone asks where they came from.

How is inventory valued?

SuppliFlex values inventory by weighted average or FIFO.

  • Weighted average blends the cost of all units on hand into one unit cost, updated as new stock arrives. It is simple and smooths out price swings between purchase orders.
  • FIFO (first in, first out) assumes the oldest units sell first, so cost of goods sold reflects older purchase costs and the remaining stock reflects the newest.

Either way, the unit cost starts from landed cost recorded at receiving: the supplier price plus freight, duties and fees. Valuation built on the PO price alone overstates margin, and the correction usually arrives at month-end as an adjustment.

Why does inventory stop tying to the GL?

The usual causes are mundane. Landed cost is tracked in a spreadsheet and posted later. A 3PL count adjustment never reaches the books. A return is restocked in one system and credited in another. A wholesale invoice is raised in the accounting file while the shipment lives somewhere else. Each gap is small; together they make the inventory balance on the balance sheet a number nobody fully trusts.

SuppliFlex closes those gaps at the source. Receipts, adjustments, returns and invoices are recorded once, in the system that also moves the stock, and the sub-ledgers sync from there. The goal is inventory that ties to the GL without manual adjustment.

What does "close in days" mean?

It is a goal, not a measured result. Month-end close at a growing brand often stretches because operations data has to be pulled, cleaned and reconciled before the books can be finished. When the sub-ledgers are already kept in the system of record, most of that preparation is done before the month ends.

Period close arrives at general availability on 23 November 2026. In the sandbox, the time machine jumps to the end of a month on 18 months of seeded history, and the simulator sends QuickBooks events every few minutes, so you can see what month-end looks like on realistic data.

What arrives at general availability?

The QuickBooks Online and Xero connectors go live with the production beta on 13 November 2026. General availability on 23 November completes the accounting side: GL sync, period close, sales tax and multi-currency, plus the custom report builder and scheduled exports. Standard reports are available from day one.

Which plans include accounting sync?

QuickBooks and Xero are included from the Starter tier, alongside Shopify, Amazon and CSV. Plans are flat monthly tiers with no usage fees; see pricing. From 13 November, the guided trial lets you connect QuickBooks read-only and see your own data before you commit.

Questions

Do I have to move off QuickBooks Online or Xero?
No. QuickBooks Online or Xero stays your general ledger. SuppliFlex keeps the operational detail in its AP, AR and inventory sub-ledgers and syncs to the GL. Both connectors are included from the Starter tier.
Which inventory valuation methods does SuppliFlex support?
Weighted average and FIFO. Landed cost is recorded at receiving, so either method starts from the real unit cost rather than the purchase order price.
When do period close, sales tax and multi-currency arrive?
At general availability on Monday 23 November 2026, together with GL sync, the custom report builder and scheduled exports.
