What is a system of record?

A system of record is the single authoritative source for a type of business data: when two systems disagree, its answer counts. SuppliFlex is built as one system of record for inventory, orders, purchasing and fulfillment, syncing to sales channels and to QuickBooks Online or Xero, which remains the general ledger.

What does a system of record do?

It owns the data. Other systems may display or use a copy, but changes are recorded in the system of record first, and it keeps the history of how a number got to where it is. Each type of data should have exactly one: accounting for the general ledger, for example, and an operations platform for stock, orders and purchasing.

How is it different from a system of engagement?

A system of engagement is where work happens or customers interact: a storefront, a marketplace, a 3PL portal. Shopify is where an order is placed. That does not make it the right source for how many units sit in a 3PL, or what those units cost. Systems of engagement feed the system of record and read from it.

What does an example look like?

A brand checks one SKU on a Monday. Shopify shows 140 units, the stock spreadsheet shows 132 and the 3PL portal shows 128. With no system of record, someone spends the morning reconciling, and whichever number they pick is a guess. With one, the ledger shows 128 on hand, and its history explains the gap: 8 units still in transit, which Shopify counted as available, and 4 damaged units that neither Shopify nor the spreadsheet had written off. Every channel then gets the same answer.

Why does it matter for a growing product brand?

As channels, warehouses and team members are added, copies of the same data multiply. Without a clear owner, every report starts with an argument about which number is right, and month-end close turns into manual adjustments. A system of record turns that argument into a lookup.

How does SuppliFlex act as a system of record?

SuppliFlex is one system of record for inventory, orders, purchasing, fulfillment and accounting sync. Inventory is an append-only ledger per SKU and location, so every quantity has a history. AP, AR and inventory sub-ledgers sync to QuickBooks Online or Xero as the general ledger, through accounting sync. From the production beta on 13 November 2026, design partners run SuppliFlex live as their system of record.
