Integration

QuickBooks Online integration

SuppliFlex keeps the operational detail (purchase orders, bills, invoices and the AP, AR and inventory sub-ledgers) and syncs it to QuickBooks Online as your general ledger. The goal is inventory that ties to the GL without manual adjustment and a close measured in days. The connector goes live with the production beta on 13 Nov 2026.

What does the QuickBooks Online connector do in SuppliFlex?

It divides the work between two systems that are each good at one thing. QuickBooks Online is where your accountant works: the general ledger, the reports, the tax filings. SuppliFlex is where operations happen: every receipt, shipment, return, transfer and adjustment, recorded per SKU and location.

The connector carries the financial result of those operations into QuickBooks Online. Instead of a month-end spreadsheet that turns warehouse activity into journal entries, the books are kept current as the activity happens.

What syncs to QuickBooks Online, and in which direction?

Sync is two-way. The records involved come from the SuppliFlex accounting sync module and its neighbours:

  • Procure to pay. Purchase orders, receipts and supplier bills. Bills pass a three-way match against the PO and the receipt before they are posted.
  • Order to cash. Customer invoices and credit notes from DTC, marketplace and wholesale orders, including account-specific price lists for wholesale.
  • Inventory. The inventory sub-ledger, valued by weighted average or FIFO, with landed cost captured at receiving.
  • Dimensions. AP, AR and inventory sub-ledgers carry dimensions, so reporting can be split the way your business runs.

SuppliFlex also reads what it needs from QuickBooks Online, such as your chart of accounts, so entries post to the accounts you already use.

How often does it sync?

Near-real-time rather than at month-end. The design target for sync freshness is under 60 seconds at the 95th percentile. For finance, the useful consequence is that the inventory balance in QuickBooks Online on any given afternoon reflects that morning's receipts and shipments, not last month's count.

What happens when QuickBooks Online and SuppliFlex conflict?

Books get touched by more than one person. A bill might be edited in QuickBooks Online after it synced, or a posting might fail because an account was archived.

SuppliFlex routes every conflict and failed sync to the exception inbox, with the cause and a one-click fix. The beta conflict policy is "always ask": nothing is overwritten on either side without a person deciding. Recurring issues can be assigned through task queues and documented in the knowledge base, which helps when the same mapping question comes up every month. Every action is in the audit log.

What is simulated in the sandbox, and what is live?

From Fri 30 Oct 2026, 12:00 CT, the public sandbox runs the real product on seeded data. The hosted simulator emits QuickBooks events every few minutes, so you can follow a purchase order from receipt to bill to posting. The time machine is especially useful for finance: jump to end of month and look at what the sub-ledgers hold and how they would tie to the GL. Items not yet in production are marked "coming to production".

The timeline after that has two steps:

  1. Production beta, Fri 13 Nov 2026. The QuickBooks Online connector is live. You can connect QuickBooks Online read-only in the guided trial, and design partners run SuppliFlex as their system of record.
  2. General availability, Mon 23 Nov 2026. Order to cash and procure to pay are complete, along with GL sync, period close, sales tax and multi-currency.

Which plan includes QuickBooks Online?

QuickBooks is part of every tier, starting with Starter (up to 500 orders and 500 SKUs a month, one warehouse, five users). Pricing is flat monthly with no usage fees and no per-seat fees for warehouse staff; prices are published at GA. Annual billing is 10% off. See pricing.

How do you get started?

Open a sandbox and invite whoever closes your books, so they can test the month-end flow on seeded data. From 13 Nov, connect QuickBooks Online read-only to see your own records. Brands using Shopify alongside QuickBooks Online should read the step-by-step Shopify and QuickBooks Online guide. If you want a founder to run the migration and a parallel close with you, look at the pilot program.

Questions

Does SuppliFlex replace QuickBooks Online?
No. QuickBooks Online stays your general ledger. SuppliFlex holds the operational records and the AP, AR and inventory sub-ledgers, and syncs them to QuickBooks Online.
Which inventory valuation methods are supported?
Weighted average or FIFO. Landed cost is recorded at receiving, so the value that reaches QuickBooks Online includes freight, duties and fees, not just the PO price.
Can my accountant try it before we commit?
Yes. A sandbox needs no card, runs for 30 days and can be extended, and you can invite teammates. From 13 Nov 2026 you can also connect QuickBooks Online read-only in the guided trial.
When is period close available?
Period close and the complete GL sync are part of general availability on Mon 23 Nov 2026. The QuickBooks Online connector itself is live from the 13 Nov production beta.
