Xero integration

With the SuppliFlex Xero connector, Xero stays your general ledger while SuppliFlex records stock, orders, purchasing and fulfillment and syncs the AP, AR and inventory sub-ledgers to Xero. Sync is two-way and near-real-time, and conflicts go to the exception inbox. The connector is live from the 13 Nov 2026 production beta.

What does the Xero connector do in SuppliFlex?

Xero is a general ledger, and a product brand needs more detail than a general ledger is designed to hold: stock per SKU and location, lots and serials, open purchase orders, receipts with freight and duties, wholesale price lists. SuppliFlex keeps all of that as the system of record for operations and sends Xero the accounting result.

The split is deliberate. Your accountant keeps working in Xero. Your operations team works in SuppliFlex. Neither has to re-key what the other did.

Which records move between SuppliFlex and Xero?

Sync goes both ways. On the SuppliFlex side, it is driven by three sub-ledgers, each with dimensions:

  • Accounts payable. Supplier bills raised from purchase orders after receiving. Purchasing handles the PO, the receipt, landed cost and the match against the bill.
  • Accounts receivable. Invoices and credit notes from the order-to-cash flow, whether the order came from a storefront, a marketplace or a wholesale account.
  • Inventory. The value of stock on hand, from the append-only ledger, using weighted average or FIFO.

Exactly which Xero objects each of these becomes (for example, whether inventory movements post as journals) is set during onboarding.

How current is the data in Xero?

SuppliFlex syncs in seconds rather than in an overnight batch. The freshness design target is under 60 seconds at the 95th percentile. The point for a Xero user is simple: the balance sheet reflects stock that arrived today, so the gap between "what the warehouse says" and "what Xero says" stays small through the month instead of being closed in one large adjustment at the end.

What if Xero and SuppliFlex do not agree?

Mismatches between operations and accounting tend to come from a few places: a record changed directly in Xero, a posting rejected because of a locked period or an archived account, or a supplier bill that does not match what was received.

Each of these lands in the exception inbox. The entry states the cause and offers a one-click fix. While SuppliFlex is in beta, the conflict policy is "always ask", so a person signs off on every resolution. Where three-way match fails on a bill, the mismatch is held for review before anything posts.

What can you try before launch, and what is live from 13 November?

The public sandbox opens on Fri 30 Oct 2026 at 12:00 CT, on seeded data and without a card. Connectors are simulated there before production. The hosted simulator's event stream covers Shopify, Amazon, QuickBooks and carriers, so the accounting flow you see is the same sub-ledger logic that feeds Xero.

The time machine helps here: jump to end of month and review the AP, AR and inventory sub-ledgers as they would arrive in Xero.

From the production beta on Fri 13 Nov 2026, the Xero connector is live and design partners run SuppliFlex as their system of record. The guided read-only trial at that date covers Shopify, Amazon and QuickBooks; for a look at your own Xero data, book a demo. General availability on Mon 23 Nov 2026 adds GL sync, period close, sales tax and multi-currency.

Which plan includes Xero?

Xero is listed in the Starter tier, so it is available on every plan. Starter fits up to 500 orders and 500 SKUs a month with one warehouse. Growth and Scale raise the order, SKU, warehouse and user limits and add WooCommerce and 3PL connectors respectively. Tiers are flat monthly prices, published at GA. See pricing.

How do you get started with Xero?

Open a sandbox, invite your bookkeeper and run a simulated month. If you sell on Shopify or Amazon and keep the books in Xero, you are a fit for the pilot program: ten US brands, live from 13 Nov, with migration done alongside a founder and a parallel run on real orders.

Questions

Is Xero supported to the same level as QuickBooks Online?
Both are listed connectors in every tier, and both serve as the general ledger for SuppliFlex sub-ledgers. One difference before launch: the guided read-only trial from 13 Nov covers Shopify, Amazon and QuickBooks, not Xero.
Do I still need a separate inventory app next to Xero?
SuppliFlex is meant to be that system: inventory, orders, purchasing and fulfillment in one place, with the accounting result synced to Xero.
Can Xero brands join the pilot program?
Yes. The pilot is for US brands on Shopify or Amazon plus QuickBooks or Xero, $2M–$15M in revenue, with 50 to 5,000 SKUs.

A working workspace in under a minute. No card, no setup, no migration.
