SuppliFlex or Fishbowl: which fits your brand?

Fishbowl suits small and midsize manufacturers and distributors that want inventory and manufacturing next to QuickBooks or Xero, including QuickBooks Desktop users on Fishbowl Advanced. SuppliFlex fits US DTC and wholesale brands doing $2M–$15M that sell finished goods across Shopify, Amazon and wholesale and want near-real-time, two-way sync with QuickBooks Online or Xero.

Who is Fishbowl right for?

Fishbowl's homepage pitches "inventory and manufacturing software for QuickBooks and Xero" for small and midsize businesses, "without the ERP complexity". The framing matters: Fishbowl is designed to sit beside the accounting package rather than replace it, and it claims more than 6,000 businesses.

The site now markets two product lines. Fishbowl Inventory, with Essentials, Growth and Scale plans, is "cloud-based inventory management for businesses that move & sell finished goods". Fishbowl Advanced, also called Fishbowl Manufacturing on parts of the site, has Advanced Manufacturing and Advanced Warehouse plans, and is aimed at businesses "that make products or run multi-warehouse, 3PL, or EDI-driven fulfillment".

Advanced Manufacturing is where Fishbowl is strongest: full bills of materials and sub-assemblies, MRP and production scheduling, job, labor and landed costing, and work orders. Advanced Warehouse adds complex fulfillment, transfer orders, EDI and tiered pricing rules. The industries Fishbowl names include aerospace and defense, automotive, chemical, construction, food and beverage, and healthcare. If you run a shop floor, sell into EDI-heavy retail, or keep your books in QuickBooks Desktop or Enterprise, Fishbowl Advanced is designed for you and SuppliFlex is not.

Where do growing product brands feel friction with Fishbowl?

These come from Fishbowl's own pricing, product and integration pages.

  • Users per plan. Fishbowl Inventory plans include 2, 5 or 10 users depending on tier.
  • Manufacturing sits in a different product. "Inventory plans do not include manufacturing (BOMs, work orders, MRP)." A brand that adds light assembly has to move to Fishbowl Advanced.
  • Traceability and forecasting by tier. Among Inventory plans, lot and forward/backward traceability is on Scale. Demand forecasting is a paid add-on on Growth and included on Scale.
  • Required implementation. Fishbowl states: "we do require an implementation package as part of your Fishbowl purchase." It includes a 6–8 week training certification and data migration "not including history". The fee is not published.
  • Desktop components. Fishbowl Advanced is marketed as cloud-hosted with self-managed options, and Fishbowl also documents a Windows path: MySQL 8 and the Fishbowl Server on one machine, with the Fishbowl Client installed on additional Windows 10 or 11 machines.
  • Scheduled, not continuous, sync. The QuickBooks Online integration exports on a schedule "as frequently as you like", requires QuickBooks Online Plus or Advanced, and must be re-authorised every 90 days. The Shopify page also describes scheduled transfers.
  • Shopify route. Fishbowl Advanced can use a native plugin; the Fishbowl Commerce module "requires a Sellware account".
  • ShipBob. ShipBob does not appear on Fishbowl's integrations page.

For a manufacturer on QuickBooks Desktop, several of these are non-issues. For a DTC brand selling finished goods through Shopify, Amazon and a 3PL, they add up to more steps between an order and an accurate stock count.

How do the pricing models differ?

Fishbowl Inventory uses flat tiers defined mainly by how many users are included, billed annually. Extra e-commerce integrations are charged monthly on top. Fishbowl Advanced is "priced by users & deployment" and "quoted to your setup", from 2 to 200-plus users. Every purchase carries a required implementation package whose price is not published. See Fishbowl's pricing page for current numbers.

SuppliFlex tiers are defined differently: by order volume, locations and seats, at a flat monthly rate with no usage fees. Warehouse staff do not add per-seat charges, and there is no mandatory setup fee. Starter is self-serve with guided setup, Growth includes assisted onboarding and Scale includes white-glove onboarding, so the amount of help you get scales with the plan rather than being sold as a separate package. Annual billing is optional, at 10% off. Prices are published at general availability on 23 November 2026.

The practical question for a Fishbowl user is where your cost grows: Fishbowl's grows mostly with users and deployment choices, SuppliFlex's with orders and locations.

How does migration from Fishbowl to SuppliFlex work?

Begin without touching your live data. The SuppliFlex sandbox opens 30 October 2026 with three seed packs and 18 months of history each. The food and beverage pack is the closest match to a Fishbowl lot-tracking setup: lots, expiry, FEFO picking and supplier lead-time drift. A time machine jumps to month end so you can see how inventory, bills and the QuickBooks or Xero sync look at close.

When the production beta opens on 13 November 2026, the migration wizard and CSV import become available, along with real connectors. You can also start a guided trial that connects Shopify, Amazon or QuickBooks read-only, so you see your own catalog and orders before committing. Order history and how much of it to bring across is a decision to make with us on a demo.

The pilot program is the hands-on route: ten US brands doing $2M–$15M, with one to twenty stock locations. A founder performs the migration with you, you run SuppliFlex alongside Fishbowl on real orders, and we meet every two weeks through January.

Verdict: Fishbowl or SuppliFlex?

Pick Fishbowl if you manufacture, need work orders and MRP, run EDI-driven distribution, want a self-managed deployment, or keep QuickBooks Desktop or Enterprise as your books. Fishbowl Advanced is built around exactly those needs, and Fishbowl cites more than 6,000 businesses using its software.

Pick SuppliFlex if you are a US brand between $2M and $15M selling finished goods DTC and wholesale, your accounting runs in QuickBooks Online or Xero, and you want stock, orders and purchasing updated in seconds rather than on an export schedule. SuppliFlex syncs two ways with a sync-freshness design target under 60 seconds at the 95th percentile, and puts every conflict or failed sync in one exception inbox.

SuppliFlex is a new company and pre-revenue, with general availability on 23 November 2026. Weigh that against Fishbowl's track record, and use the sandbox to judge the product on its own.

Is SuppliFlex cheaper than Fishbowl?
SuppliFlex prices are published at general availability on 23 November 2026, so a dollar comparison is not possible yet.
